GENERAL ADMISSION INFORMATION
It is normal to feel anxious about your pending stay in hospital. Please be assured that our hospital team is focused on your comfort and general well-being. Upon admission you will need to complete an admission form, provide information about your health, allergies, past surgeries, and a list of medication that you are taking. Our team will also listen to your concerns and personal needs and will be available to answer any questions you may have.
DOCUMENTATION
In order to quickly process your admission and get you settled in without delays, the following documents are vital for your admission:
- Proof of identity of the patient [birth certificate or ID document]
- Proof of identity of the principal member of the medical aid scheme if he/she is not the patient
- Your medical aid membership card
- Pre-authorisation number from your medical aid
- All x-rays, scans, blood tests or other test results relating to the admission
- Referral letter from doctor or specialist
WHAT TO PACK FOR YOUR STAY
Below is a checklist to assist you in your preparation for admission:
- Chronic medication – preferably in original packaging
- Overnight bag with toiletries
- Sleepwear and cotton underwear
- Laptop lock [if you bring your laptop]
- Reading material
- Clothing to change into once discharged
WHAT NOT TO BRING ALONG
- Large amounts of cash
- Jewelry or valuables
- Cell phones and electronic equipment
- Perfume or after shave
ADMISSION PROTOCOL: PRIVATE PATIENTS
What do I need to do if I’m a PRIVATE PATIENT?
Before admission private patients must discuss the total estimated cost of the hospital stay with their doctor and the MooiMed Private Hospitals Accounts Department on (018) 293 0802. You will be expected to pay a deposit upon admission, with settlement of balance upon discharge.Payment options include EFT at Hospital, credit/debit cards or cash.
Once admitted, an update of your account will be communicated to you should a shortfall occur. A further deposit may be required for extended length of stay. You will be required to settle the balance upon discharge from hospital.
To ensure a smooth admission process, the following procedure should be adhered to:
- Our pre-admission administrator will guide you through the admission process
- Assistance with completion of documentation will be offered
- Obtain a quote from our facility for accommodation and procedure related costs prior to admission
- The hospital estimated quote does not cover doctor/surgeon, anesthetist or any laboratory or radiology costs.
- Kindly obtain a quote for any prosthesis items directly from your surgeon
- The full hospital estimated quote, as well as the prosthesis estimated quote will be payable upon/prior to admission as pre-payment of the estimated cost.
- It is important to note that this quote will reflect only an estimated amount and is not an indication of the final billed amount. Any variables will be added to the final billed amount for settlement by the patient/responsible person upon discharge.
- In the event that your account exceeds the estimated quote during your stay, you may be required to make interim payments.
- Kindly note that EFT or credit/debit card payments are preferred -avoid cash payment where possible
Remember to supply the following documentation upon pre-admission:
- Written medical diagnosis and code [ICD-10] issued by your doctor
- Written description of surgical procedure and code [CPT-4 or BHF] issued by your surgeon
- Name and practice number of the doctor or specialist under whose care you will be admitted
- Proof of identity of the patient [birth certificate or ID document]
- Proof of identity of the parents/guardian if patient is a minor
- All x-rays, scans, blood tests or other test results relating to the admission
- Referral letter from doctor or specialist – if applicable
Any credit balance available to private patients will be refunded by EFT payment on month end after proof of banking details was received and validated. Refunds will be made to the responsible person indicated on the admission documentation.
ADMISSION PROTOCOL: MEDICAL SCHEME PATIENTS
What do I need to do if I’m a MEDICAL AID PATIENT?
Hospital tariffs are charged according to a scale of benefits. Some medical aid funds require their members to pay a co-payment.
Please be aware of this so that payment thereof can be made by you on admission. Arrange with your medical aid for a medical aid authorisation number regarding your hospitalization. Ensure you contact your medical aid for a procedural authorization at least 72 hours prior to admission. No admission without prior authorization will be allowed.
*What costs will be covered? Whether there will be co-payment or confirmation of all costs covered.
*What length of stay is covered? Length of stay authorised will be communicated.
*Which maximum benefits or exclusions will be applicable and
*What benefit restrictions regarding prosthesis and instrumentation apply? Maximum benefits or exclusions and benefit restriction regarding prosthesis and instrumentation (if applicable) will be explained.
*Whether a motivational letter is required by them for the particular procedure you are about to undergo. Should a motivational letter be required for a particular procedure prior to admission, it will be requested
This letter must be obtained from your doctor, prior to admission. If you are experiencing any problem with your medical aid regarding the authorisation number, tariff codes or costs, please contact the MooiMed Hospital Reception on (018) 293 0802.
In order to obtain authorization from your medical scheme timeously:
- Our pre-admission administrator will guide you through the admission process
- Assistance with completion of documentation will be offered
- Your medical scheme requires pre-authorisation to be obtained 72 hours prior to the admission
- Failure to obtain pre-authorization will result in the member being liable for any shortfall or penalties instituted by the scheme
- In order for us to obtain pre-authorization on your behalf you will have to provide the following:
- Written medical diagnosis and code [ICD-10] issued by your doctor
- Written description of surgical procedure and code [CPT-4 or BHF] issued by your surgeon
- Name and practice number of the doctor or specialist under whose care you will be admitted
- Medical scheme membership card and proof of identification
- The pre-authorisation administrator will request authorisation on your behalf and inform you timeously of any deductibles, co-payments or shortfalls
- Payment in full of deductibles, co-payments or shortfalls must be made upon admission
We strongly recommend that you familiarize yourself with the rules of your medical scheme prior to admission. Please confirm with your medical scheme whether any levies, co-payments or exclusions may apply, and whether there are any aspects of your treatment for which you personally will be liable for payment.
- Kindly also confirm your limits and benefits available – especially prosthesis limits for surgical procedures. A quote may be obtained from your surgeon for any prosthesis items estimated for use during the procedure.
- All medical aid, as well as private accounts will remain the responsibility of the member. The member must ensure that the account was received by the medical aid within 30 days after discharge date and will remain the responsibility of the member to follow up until settled in full by medical aid.

PATIENT PROTOCOL
Transfer of Patients Protocol
The following protocol pertains to inter-facility transfers or general transport during your admission at MooiMed Private Hospital:
- MooiMed Private Hospital does not have a transport system available for transporting patients to institutions not situated on the hospital terrain.
- Patients are liable for their own transport arrangements.
- Ambulance services can or will be arranged when needed and as per medical scheme protocol.
Discharge Protocol
The following protocol must be adhered to prior to leaving the facility of MooiMed Private Hospital:
- Patients must arrange alternative means of transport after recovery, as no patient will be allowed to drive him/herself home after receiving general anesthesia during a theatre procedure.
- Patients – or in case of a minor, the parent/guardian – must sign consent to discharge at the nurses bay prior to leaving the ward area.
PRE-OPERATIVE PROTOCOL
- Informed consent must be signed for all procedures during admission. Minor patients must be accompanied by one/both parents or the court-appointed legal guardian. In the case of a guardian, legal documentation must be supplied.
- Please discuss taking your chronic medication with your doctor prior to your procedure.
- Kindly bring all your current medication with you to the hospital – preferably in its original packaging.
- Shaving of the applicable operation site must be done prior to admission according to the attending doctor’s orders.
- No jewelry of any kind on any body area or nail varnish is allowed in the theatre. No cell phones are permitted.
- Safekeeping of personal belongings is the patient’s own responsibility. No employee or any stakeholder at MooiMed Private Hospital will be liable for any losses or damages.
- Dentures must be removed prior to admission in theatre unless otherwise requested by the anesthetist.
- Only 100% cotton underwear is permitted. No Nylon underwear will be allowed. Underwear must be worn unless otherwise requested by doctor or ward personnel.
- Theatre garments will be issued for theatre procedures. Private clothing is permitted only in the event of ophthalmic procedures which does not necessitate general anesthesia
- Adults are not permitted any solids or liquids during the 6 hours prior to the scheduled procedure.
- Babies are permitted clear liquids up until 4 hours prior to the procedure or as per doctor instructions.
- All x-rays and reports available must accompany the patient to theatre for the perusal of the attending doctor – especially for orthopedic procedures.
POST-OPERATIVE PROTOCOL
- Patients must arrange alternative means of transport after recovery from general anesthesia, as no patient will be allowed to drive him/herself home.
- Consent to discharge must be signed on the patient file prior to leaving the ward area.
- Private patients are liable to settle the full statement balance upon discharge.
Failure to comply with the listed protocol may result in cancellation or postponement of the theatre procedure.

HOSPITAL ACCOUNT INFORMATION
Understanding hospital billing:
The following information is relevant as per MooiMed Private Hospital protocol, as well as the rules and regulations of your medical scheme.
Hospital billing only covers the hospitalization itself. The following services are excluded from the MooiMed Private Hospital account, and will be billed separately by these institutions and service providers:
- Doctors, Anesthetists and Assistant Doctors
- Radiology
- Pathology / Laboratories
- Physiotherapists
- Dietitians, Speech- and Occupational Therapists
CO-PAYMENTS, LEVIES AND DEDUCTIBLES
- It is the responsibility of the member to be aware of any co-payments, levies and deductibles applied to certain procedures [as per scheme and plan type] which will be your responsibility to settle on or before the day of admission.
- Please check with your medical aid that MooiMed Private Hospital is regarded as a service provider to your medical aid – specifically the relevant plan on which the membership is based.
- Ensure that authorization was granted in full – you will be held liable for the co-payment/levy/deductible indicated by your scheme for full settlement upon admission.
It is your responsibility to:
- Ensure you are a valid member of a medical aid scheme, if applicable, and that your monthly premiums are up to date. Pro-rata benefits may be applicable in case of new membership.
- Disclose all waiting periods enforced by your scheme to your doctor and the hospital.
BENEFITS AND LIMITS
- It is the responsibility of the member to be aware of their individual benefits available, as well as limits applied to their membership. This information is deemed confidential by some of the medical aids and will not be disclosed to hospitals upon pre-authorization.
- Ensure you have sufficient benefits available for your procedure – this includes internal/external prosthesis, appliances, physiotherapy, TTO medication prescribed, etc.
- Obtain an estimated quote from your surgeon for prosthesis items used during your procedure.
- Ensure that you have enough available limits to cover these items.
- If insufficient limits are available, the member will be held liable to cover the shortfall upon admission.
- In the event that more prosthesis items are used by your surgeon during your procedure than originally quoted, the member will be liable for any shortfall due to depleted benefits.
SUBMISSION OF HOSPITAL ACCOUNT TO SCHEMES
- All medical schemes, as well as private accounts, will remain the responsibility of the member. MooiMed Hospital will submit the account on behalf of the member to their relevant scheme. The member must ensure that the account was received by the medical scheme within 30 days after the discharge date and will remain the responsibility of the member to follow up until settled in full by the medical scheme. Should the medical scheme fail to pay the account in full, the member will be liable for the balance and payment in full to MooiMed Private Hospital within 30 days.
REFUNDS
- Credit refunds available to members will be reimbursed to the main member during scheduled payment runs every fortnight. Refunds will only be made once acceptable proof of bank account was received:
- Official letter from your bank, cancelled cheque or top stub of bank statement reflecting only the name of the account holder and bank account details.

Visiting Hours
At MooiMed Private Hospital we encourage family support as a vital influence in recovery. A wide range of services and facilities are available to both patients and families.
Kindly note that visitation outside of visiting hours is to be approved by the nursing services manager, sister in charge of the ward or the manager on duty.
Patients admitted in Ward 1 for day procedures may receive visitors during their stay, as per hospital protocol. Kindly make inquiries to the sister in
charge of the ward. Hospital protocol and protection of patient rights will prevail.
Visiting hours are to be adhered to in order to ensure that our patients receive the best attention from nursing- and auxiliary staff at all times.
This serves also to ensure that patients receive necessary rest and their privacy and patient rights are protected at all times.

Golf Cart Transport
Patients and visitors have the benefit of being transported from the parking areas to the reception area of the hospital or consultation rooms by golf cart.

We welcome our patients and visitors in our spacious reception area. Our coffee shop is directly of the reception area for easy access. This comfortable waiting area is close by theaters and the wards.

Mooi-Cuppa-Medley is located at Reception, serving hot and cold beverages and a selection of freshly prepared light meals, sandwiches and snacks.

MooiMed Private Hospital is a non smoking environment. Please ensure that you refrain from smoking outside within 5 m of any outside entrance or window.
